Minutes of Committee Meeting

Held on Tuesday, 19th June 2007
at Heath Farm, Plumpton Green


Present: Paul Mitchell (Chair), Marilyn Hanbury, Jennie Holland, Shân Allan
1. Apologies for Absence: Mike Warren, Brendan Carroll
2. Approval of Previous Minutes (30th April 2007)

Approved as a true record
3. Matters arising:
  • Ditch clearance - Paul has discussed clearance of the ditch with Kelvin Spiers who is arranging for the work to be carried out in the near future.
  • Coaching
    • Paul has met with Pam (Coach) and has agreed a schedule showing current coaching sessions. Paul will send out a summary to members.
    • Paul has met with the Head teacher at Plumpton School to discuss coaching and use of the tennis courts. The Head has responded and may be interested in the new school year
    • Shân will email members to see if there’s interest in providing tennis improvers/tactics coaching session.
    • Agreed to invite Pam to the next meeting to discuss further coaching opportunities.
  • Shirt sales – 3 t-shirts and 3 polo shirts have been sold since the sale started.
  • Racquet demonstration session – there was insufficient interest to take this forward.
  • The cesspit has been emptied – thanks to Marilyn for arranging.
  • Wimbledon tickets – the draw has taken place, Alan Mates is issuing tickets and collecting payments.
4. Premises.

Court 1 - subsidence and cracking
There has been no further movement or cracking on court 1. Derek is monitoring on a weekly basis. A decision will be taken on appropriate action after Mike has phoned the insurance company to check cover.

Court resurfacing
The playing surface of court 3 is good. We need to ensure it is swept clean and the debris cleared on a regular basis to keep it well maintained (on Derek’s list).

Court Maintenance
  • The lock on the clubhouse has been replaced after it was vandalised. Thanks to Jennie for sorting this out at short notice.
  • Water has leaked through the roof and flooded the floodlight token box which now only works with a key. Ian Streeter has patched the roof (many thanks). Paul has ordered a new control box and will fit this once received.
  • Agreed we need to make the clubhouse secure and fully watertight before the winter.
  • Marilyn will remove an Ash sapling growing adjacent to the clubhouse.
  • Jennie will ask Kelvin if the Parish Council can cut the foliage between the access track and railway line.
  • Derek has been asked to:
    • Repair the bench outside the clubhouse;
    • Cut the hedge on the boundary with the farmland; and
    • Fix the handrail adjacent to court 2
5. Financial Report

Mike provided a financial update. Since 20th February (our last meeting) the club has received £6,027 of income (primarily membership fees) and made payments of £6,312 (courts and ground maintenance and payment of Wimbledon tickets). The club’s accounts totalled £24,012.

6. Membership Report

Jennie reported that the club has 93 members (down on the 114 from last year). The total includes 14 new members. An up to date members list has been circulated to all members.

Marilyn will place an article in the Chailey and Wivelsfield Parish magazines to try and attract new members from villages which do not have a tennis club.
7. Events Calendar

Club Tounament - matches are now underway. Entrants as follows:
  • Men’s singles - 4
  • Mixed doubles – 6 pairs
  • Ladies doubles – 3 pairs
  • Ladies singles – 5

American tournament – Unfortunately the event was cancelled because there were insufficient entries (only 6). Thanks to those members who expressed an interest but couldn’t make the date.

Junior tournament – cancelled

Open day 1st July – (see Rosebowl Tournament entry)

St John’s tournament – underway

Ladies day - £419 was made from this fundraising event. Thanks to everyone who helped organise the day.

Rosebowl tournament 7th October – because of holiday and other commitments it was agreed to incorporate the Open Day, which had been scheduled for 1 July with the Rosebowl tournament and make this an open event. Paul will see that a piece goes in the August Parish mag.

Safari supper – this event has now been moved to 29th September because not enough people could make the July date.

Agreed it was important to ensure that members are reminded of events by email throughout the year.

Possible New Events
  • East Hoathly friendly - Shân will contact East Hoathly club to arrange a return visit
  • New club session. There has been interest in running a club session during the week - Monday, Wednesday or Friday are the popular choice. However, no one has volunteered to take a lead. Shân will follow up.
  • Club Ladies day. There is interest in running a club ladies day or morning during September. The weekend of 22/23 September is a possible date or a weekday may be preferable. Shân will arrange.
8. Any Other Business
Paul will not be standing as chair at the next AGM.
Marilyn announced her intention to stand down from the committee at the AGM.
Agreed we need to encourage members to join the committee. Anyone interested is very welcome to attend the next meeting.
